Scope of This Policy

This Privacy Policy explains how Varisley ("we," "us," "our") handles personal information in connection with NestILS, our library management system (ILS), and the libraries, consortia, staff, patrons, and other clients who use it (collectively, "you"). It covers both the NestILS software platform used by library staff and patrons, and this marketing website.

Because NestILS is deployed for libraries, schools, and consortia, the library or institution that licenses NestILS is typically the data controller for patron records, and Varisley acts as its data processor/service provider. This policy describes the privacy-protective standards we build into the platform and hold ourselves to as that processor.

Information We Collect

We intentionally keep the data footprint of NestILS as small as possible. We only collect and store the information necessary to perform library functions such as issuing a library card, checking out and returning items, placing holds, managing fines, and delivering the services a patron or client has requested.

Patron & Client Account Information

  • Name and contact details (mailing address, phone number, email) needed to issue a library card and send account notices
  • A library card or barcode number used to identify the account
  • Date of birth, only where required to apply age-appropriate loan rules or juvenile/adult card types
  • Optional demographic fields a library chooses to enable are off by default and never required to register

Circulation & Service Records

  • Items currently checked out, on hold, or overdue, and associated due dates
  • Fines and fees tied to circulation activity, and payment status (not full payment card numbers — see Security)
  • Program or event registrations a patron actively signs up for

Operational & Security Logs

  • Basic sign-in timestamps and system audit logs used to secure accounts and investigate misuse
  • Standard technical logs (e.g., IP address at time of request) retained briefly for security and fraud prevention

If a library enables an optional feature that would collect additional information, that field is clearly labeled as optional in the interface and is never required to hold a library card or borrow materials.

What We Don't Collect

We deliberately avoid requesting information that isn't necessary to run a library. NestILS is designed so that:

We also do not retain detailed reading or search history linked to your identity any longer than is needed to fulfill a hold or loan — see Data Retention & Deletion.

Why We Collect It

Every field NestILS stores maps to a specific library function:

  • Identity & contact info — to issue a card, verify an account, and send due-date and hold-pickup notices
  • Circulation records — to track what is checked out, enforce loan periods, and manage holds and fines
  • Security logs — to protect accounts from unauthorized access and detect misuse
  • Aggregated, de-identified usage data — to help libraries understand collection turnover, program attendance, and budget needs; this reporting is never tied back to an individual patron

We do not use patron or client data to build advertising profiles, and we do not use it for purposes unrelated to library operations without separate, explicit consent.

Confidentiality & Legal Basis

Library circulation and patron records are treated as confidential in keeping with professional library ethics (including the principles reflected in the ALA Code of Ethics and Library Bill of Rights) and any applicable state, provincial, or national library-records confidentiality law that governs the licensing library. Access within NestILS is role-based: only staff with a legitimate operational need can view a patron's account, and every access is logged in an audit trail.

How Data Is Shared

We share personal data only in the following limited circumstances:

  • With your library or consortium's authorized staff, on a need-to-know, role-permissioned basis
  • With vetted service providers (e.g., hosting infrastructure, payment processors, notice/email delivery) who are contractually bound to confidentiality and data-protection obligations at least as strict as this policy, and who may use the data only to provide the contracted service
  • When required by law, such as a valid subpoena, court order, or other lawful legal process, and only to the extent legally required
  • With your consent, such as when you voluntarily submit a demo request or contact form

We do not share data with third parties for their own independent marketing purposes.

No Sale of Personal Data

Varisley does not sell, rent, or trade personal data belonging to patrons, library staff, or clients to any third party, under any circumstances, and has not done so in the preceding 12 months. This applies to circulation history, account details, and any other information collected through NestILS or this website.

Data Retention & Deletion

  • Circulation records are retained only as long as needed to manage an active loan, hold, or fine, per the retention schedule your library configures
  • Once an item is returned and any fines are resolved, detailed transaction-to-patron links are eligible to be de-identified or aggregated for statistical reporting
  • Account information is retained for as long as the library card remains active
  • When a patron or client closes their account, or upon a valid deletion request, their personal information is deleted or anonymized within a reasonable timeframe, except where retention is required to comply with law, resolve outstanding fines, or maintain security audit trails

How We Protect Data

  • Encryption of data in transit and at rest
  • Role-based access controls and full staff audit trails
  • Payment transactions are processed through PCI-compliant third-party processors; NestILS does not store full card numbers
  • Regular security reviews and staff training on data-handling practices

Your Rights & Choices

Subject to the policies of the library or institution that holds your record, you generally have the right to:

  • Access the personal information associated with your account
  • Correct inaccurate or outdated information
  • Request deletion of your account information, subject to legal or fine-related retention needs
  • Opt out of optional communications such as newsletters or program announcements
  • Ask questions or file a concern about how your information is handled

Children & Minors

Many libraries serve young patrons. Juvenile accounts collect the same minimal information as adult accounts and no more, are subject to any additional protections the library's policy requires (such as guardian association), and are never used to build advertising profiles or shared with third parties for marketing.

Website Cookies

This marketing website uses only essential and functional cookies needed for the site to operate (for example, remembering that a form was submitted). We do not use third-party advertising trackers on this site. If you submit the demo request or contact form, the information you enter is sent to our form provider solely to route your inquiry to our team and is not used for advertising.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The "Last Updated" date at the top of this page reflects the most recent revision. Material changes will be communicated to licensed libraries in advance of taking effect.
